Tuition Refund & Withdrawal Policy Mei Jia Chinese Learning Center is committed to providing a high-quality Mandarin learning experience for our students and families. Because class placement, teachers, classroom space, materials, and staffing are arranged based on enrollment, tuition and fees are subject to the following refund and withdrawal policy. By submitting a registration form and payment, the parent or guardian acknowledges and agrees to the terms below.
1. Registration Fee The registration fee is non-refundable and non-transferable once the student's registration has been processed. Registration fees cover administrative processing, enrollment, insurance, and other registration-related costs.
2. Books & Materials Fee Books and materials fees are non-refundable once materials have been ordered or distributed. If a family withdraws before materials have been ordered, Mei Jia may, at its discretion, refund the unused materials fee.
3. Tuition Refund Before the Program Begins Families who need to withdraw before the first day of the program may request a tuition refund according to the following schedule:
30 or more calendar days before the program start date: 100% of tuition refunded
15–29 calendar days before the program start date: 75% of tuition refunded
7–14 calendar days before the program start date: 50% of tuition refunded
Less than 7 calendar days before the program start date: Tuition is non-refundable
Registration fees, book/material fees, and other non-refundable fees are excluded from the tuition refund.
4. Withdrawal After the Program BeginsOnce a program or semester has begun, tuition is generally non-refundable because Mei Jia has reserved a student's place, teacher staffing, classroom space, and program resources for the enrolled period. However, Mei Jia may consider a tuition credit or prorated refund for exceptional circumstances on a case-by-case basis. Any approved refund or credit is at the discretion of Mei Jia and does not establish an obligation to provide the same adjustment in future circumstances.
5. Student Absences Tuition is based on the student's reserved enrollment and class placement, not the number of classes attended. Therefore, tuition will not be prorated or refunded for:
Student illness
Family vacations or travel
Personal schedule conflicts
Missed classes
School activities or events
Late arrival or early departure
Temporary changes in family circumstances
Other absences initiated by the family
When reasonably possible, Mei Jia may provide make-up work or another appropriate option. Make-up classes are subject to teacher and classroom availability and are not guaranteed.
6. Class Schedule Changes A request to change a student's class, day, or schedule must be submitted to Mei Jia in writing and is subject to availability. A schedule change does not automatically qualify the family for a tuition refund. If Mei Jia is able to move the student to another available class, the tuition paid will generally be applied to the new class.
7. Program Cancellation or Cancellation by Mei Jia If Mei Jia cancels a class or program and is unable to provide a reasonable make-up class, replacement class, or alternative arrangement, Mei Jia will provide an appropriate prorated tuition credit or refund for the affected portion of the program.
8. After-School Program & Pickup Fees For after-school programs, tuition is based on the student's reserved enrollment and schedule. Pickup services, when available, are separately arranged and may involve an additional fee. Once pickup staffing has been scheduled and reserved for a student, the pickup fee is generally non-refundable for missed days or family-initiated schedule changes. If Mei Jia is unable to provide an arranged pickup service, the applicable unused pickup fee will be credited or refunded.
9. Part-Time Enrollment For part-time students, tuition is based on the specific schedule reserved at registration. Families may not reduce the number of enrolled days during the semester and automatically receive a tuition adjustment. Any change from full-time to part-time enrollment must be approved by Mei Jia and is subject to availability.
10. Summer Camp Summer Camp registration and refund terms may be different from the regular school-year programs. The refund deadlines and policies stated on the applicable Summer Camp registration form will govern that program. If there is a conflict between this policy and a specific Summer Camp registration policy, the Summer Camp policy will apply to the Summer Camp enrollment.
11. Tuition Credits When Mei Jia approves a tuition credit instead of a refund:
The credit may generally be applied toward a future Mei Jia program during the same academic year.
Credits are not transferable to another family unless approved by Mei Jia.
Credits are not redeemable for cash.
Credits must be used within the period specified by Mei Jia.
12. How to Request Withdrawal All withdrawal requests must be submitted in writing by email to Mei Jia Chinese Learning Center. The withdrawal date will be the date Mei Jia receives the written request. A request made verbally to a teacher, staff member, or another family does not constitute an official withdrawal unless confirmed by Mei Jia administration. Parents should retain the written confirmation of their withdrawal request for their records.
13. Refund Processing Approved refunds will generally be processed within 30 calendar days after Mei Jia confirms the refund. Refunds will normally be issued to the original payment method when reasonably possible. If a payment was made by check, cash, Zelle, Venmo, or another method that cannot receive a direct reversal, Mei Jia may use another reasonable method to issue the refund.
14. No Double Refund or Credit A family may not receive both a tuition credit and a refund for the same unused portion of a program. Once a refund or credit has been accepted and issued, the matter will be considered resolved unless otherwise agreed in writing.
15. Automatic Renewal / Continuing Enrollment Unless clearly stated otherwise in the registration agreement, Mei Jia enrollment is for the specific program term or school year selected at registration and does not automatically renew. If Mei Jia offers an automatic renewal or continuous enrollment arrangement in the future, the applicable renewal terms, charges, cancellation method, and other required disclosures will be provided clearly before enrollment and handled in accordance with applicable California law.
16. Exceptional Circumstances Mei Jia understands that unexpected circumstances may arise. The Director may review exceptional circumstances, including significant family emergencies or other extraordinary situations, and may approve a refund, credit, transfer, or other reasonable accommodation when appropriate. Such decisions are made on a case-by-case basis and do not modify the general refund policy.
17. Policy Acknowledgment By completing registration and submitting payment, the parent or guardian confirms that they have:
Read and understood the Mei Jia Tuition Refund & Withdrawal Policy;
Reviewed the applicable tuition and fees;
Understood which fees are non-refundable;
Understood the withdrawal and refund deadlines; and
Agreed to the terms of enrollment.
Mei Jia Chinese Learning Center reserves the right to update this policy when necessary. Any material changes to the policy will be communicated to families as appropriate.
